Lockton Midwest is searching for a dynamic Producer Assistant to provide sales support and clerical assistance to Producers in our Memphis office location. The candidate will act independently with general direction from the Producers and their Manager. This candidate should be highly assertive and able to take charge of most situations with little supervision. Clerical duties in include reception functions. Relevant experience in Employee Benefits is a plus.
ESSENTIAL DUTIES:
1. Composes and prepares a variety of correspondence, reports, and internal documents in support of producer new business development activities.
2. Conduct research of prospective companies and prepare executive prospect summaries.
3. Perform data entry of contacts/prospects and perform mail merges for marketing mailings.
4. Conduct follow-up calls to ensure information was received.
5. Independently coordinates the production of responses to requests for proposals (RFP’s) using internal and external resources.
6. Interacts with team members and ensures excellent communication within the department.
7. Receives, reads and is proactive in handling daily mail and email as directed by individual producer, and initiates action on items requiring immediate attention.
8. Manages daily activities of the producer.
9. Meets with producer as needed to provide update on current work assignments.
10. Provides status reports to producer on service plans for over 100+ clients.
11. Maintains files of correspondence and other records.
12. Answers telephone, answers questions or refers calls to appropriate department or individual.
13. Plans conferences and meetings.
14. Provides support to executive board meetings and events.
15. Makes travel arrangements and various business appointments for assigned producers.
16. Provides administrative support to the producer for activities of a personal nature.
17. Keeps calendar of appointments and suspense systems for producer as requested.
18. Process expense reports using knowledge of client/prospect activity and ensure timely reimbursement to the producer.
19. Protects the confidentiality of information learned by performing the duties of the position.
OTHER RESPONSIBILITIES:
1. Performs general office tasks, e.g., filing, photocopying, ordering and maintaining inventory of office supplies, etc.
2. Coordinates all facility needs such as vendor relations, appliance repairs, security card access requests, etc.
3. Sorts, distributes, and dispatches all incoming and outgoing mail.
4. Answer and forwarded incoming company calls via the company’s switchboard system on an overflow need as well as provide full coverage during any Office Services staff events in St. Louis.
5. May perform public relations work for producers, including coordinating special events, luncheons, golf outings and seminars.
6. Coordinates the purchase and distribution of client gifts.
7. May attend client/prospect meetings or social events with producer to assist as requested.
8. Provide technical writing support for blog updates, various social media and online sites in support of producer activity.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
1. Bachelor’s degree in marketing, general business or equivalent education or experience preferred.
2. 2-5 years' professional experience performing executive-level sales support or similar administrative experience in a corporate environment.
3. Applicant with experience in an insurance brokerage/Employee Benefits consulting environment will be given priority consideration.
4. Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint and Access.
5. Advanced skills with email and calendar systems such as Outlook.
6. Experience with internet, including knowledge of LinkedIn, Facebook and other social media for the purposes of professional networking.
7. Experience using a CRM system such as Salesforce.
8. Organizational and time management skills to prioritize busy workload to meet time sensitive deadlines.
9. Strong verbal, written, analytical and interpersonal skills.
10. Firm, fluent grasp of the English language with high level verbal, written, listening, and interpersonal skills to interact with associates at all levels of responsibility.
11. Demonstrated ability to instill confidence and comfort with co-associates and team members.
12. Ability to make decisions in compliance with established company standards of quality performance and service.
13. Appropriately assertive personal presence to interface with clients, associates and other individuals, in both one-on-one and group situations, representing Lockton in the highest professional manner.
14. Strong value of service to others.
15. Ability to perform simultaneous multiple tasks with ability to respond and refocus quickly.
16. Ability to travel by automobile and aircraft and to stay for more than one day and night in commercial lodging facilities.
